Fees & Payments

Collect fees online and stop spending week one on reminder calls

Fee reminders go out automatically on WhatsApp with a payment link inside. Parents pay by UPI from the message. The GST-compliant receipt is issued the moment it clears — and the money lands in your own bank account, never ours.

How this normally goes

The first week of every month, spent on the phone

Most institutes run fee collection as a manual campaign: someone opens the ledger, works down the list of pending payments and calls parents one by one. It absorbs the most valuable week of the month, and it happens every month.

Almost all of that work is reminder, not negotiation. Automating the reminder — with a payment link attached — leaves your staff only the genuinely difficult conversations.

What it covers

Fee collection, end to end

  • Online collection via Razorpay

UPI, cards and netbanking. Money settles directly into the institute’s own account — SCRMAI never holds your fee money at any point.

  • Installment plans

Coaching and school fees rarely arrive in one payment. Define installment schedules per student or per batch and track each one independently.

  • Discount codes

Sibling discounts, early-bird admission offers and scholarship adjustments applied as codes rather than as manual ledger edits.

  • GST receipts and invoices

Generated as PDFs with the GST fields your accountant expects, automatically on payment — including for individual installments.

  • Automated reminders

Due and overdue reminders on WhatsApp, SMS and email, each carrying a payment link so the parent can pay from the message.

  • Collection reporting

Revenue, outstanding fees and collection trends, with export to CSV and PDF for your accountant.

The link in the message

Remove every step between reminder and payment

A reminder that says "your fee is due" requires the parent to find the office, the timing and the payment method. A reminder with a UPI link in it requires a thumb. That difference is most of the collection improvement, and it needs no change in your fee policy.

  • Payment link inside the WhatsApp, SMS or email reminder
  • UPI, card or netbanking at the parent’s choice
  • Receipt issued automatically, no manual step
  • Outstanding list shrinks to the genuinely difficult cases

FAQ

Frequently asked questions

Does SCRMAI hold our fee money at any point?

No, never. Collection runs through your own Razorpay account and settles into your own institute bank account. SCRMAI generates the payment link, the receipt and the reminder — the money itself does not pass through us.

Are the receipts GST-compliant?

Yes. Receipts and invoices are generated as PDFs including the GST fields, issued automatically when a payment clears, and available for individual installments as well as full-fee payments.

Can we handle part payments and installments?

Yes — installments are the normal case rather than an exception. Define a schedule per student or per batch, track each installment independently, and let automated reminders chase only the ones that are actually due or overdue.

What are the transaction charges?

Razorpay’s own transaction fees apply and are set by Razorpay according to your account and payment method — SCRMAI does not add a commission on top of your fee collection. Check current rates with Razorpay directly, since they change independently of us.

Can parents pay in cash and still be recorded?

Yes. Offline payments can be recorded against the fee plan so the ledger, the receipts and the outstanding list stay accurate regardless of how a particular family pays.

Is fee collection available on the Starter plan?

Yes. Online fee collection, installment plans, GST receipts and automated reminders are available from Starter at ₹999/month. The AI features are what distinguish the higher plans.
