AI School CRM

The AI school CRM that does the follow-up work

Not a chatbot bolted onto a CRM. SCRMAI uses AI at six specific points in the admission and student lifecycle — scoring enquiries, calling leads, drafting messages, writing parent reports and predicting drop-outs — where it removes real hours of work.

  • AI lead scoring with a reason and a suggested next step
  • AI voice agent that calls new enquiries and books demos
  • AI-drafted broadcasts and inbox reply suggestions
  • AI drop-risk detection and monthly parent progress reports

Our position on AI

AI should remove work, not add a tab

Plenty of education software now has an AI feature that produces text you then have to check, edit and send yourself. That is not a saving; it is a second job.

SCRMAI applies AI where the output is either an action (a call placed, a demo booked, a report sent) or a decision (which enquiry to call first, which student is about to leave). Everything else stays ordinary software, because ordinary software is faster and more predictable.

Six places AI earns its keep

What the AI actually does in SCRMAI

Each of these is a working feature, not a roadmap item.

  • Lead scoring with reasoning

Every enquiry gets a conversion-likelihood score, the reason behind it in plain English, and a concrete next step — so prioritisation stops being a gut call.

    AI lead scoring
  • Voice agent that calls leads

New enquiries are called automatically in Hindi, Tamil, Telugu, Marathi or your configured language, and the agent can book a demo class or campus visit during the call.

    AI admission assistant
  • Student drop-risk detection

Attendance, exam performance and fee history are read together to flag students who are drifting, with a plain-English reason you can act on while they are still enrolled.

    Student management
  • Reply suggestions in the inbox

The WhatsApp inbox suggests a reply in context. Your counsellor reads it, edits it if needed, and sends — keeping a human in the loop on every parent conversation.

    WhatsApp CRM
  • Broadcast drafting

Describe the message — fee deadline, schedule change, result announcement — and the AI drafts the broadcast. You approve it before anything goes to a single parent.

    Marketing automation
  • Monthly parent progress reports

AI writes a monthly attendance-and-exam summary per student and sends it to parents on WhatsApp or email automatically — the single most-requested thing teachers never have time for.

How it works in practice

Two examples, start to finish

Prioritisation

Forty open enquiries, one morning, no guesswork

A counsellor opens the pipeline and sees it ordered by AI score rather than by date. Each score carries its reasoning, so the counsellor is not asked to trust a number — they can see that this family visited the campus, opened the fee structure three times and already has a child enrolled.

  • Score, reason and next step on every enquiry
  • Re-scored as new signals arrive — visits, opens, replies, payments
  • Explains itself, so counsellors can disagree with it
  • Meters against prepaid AI credits, so cost stays visible

AI lead score

91

Why: Campus visit completed, opened the fee structure three times, and an elder sibling already studies here.

Next step: Call today and offer the 3-installment plan — this family converts on affordability, not on discount.

Retention

A drop-out warning six weeks early

No single signal is alarming on its own. Read together, they are. SCRMAI joins attendance, exam trend and fee history, flags the pattern, and writes out why — which gives a counsellor something concrete to open the parent call with.

  • Signals combined rather than monitored separately
  • Plain-English reason, not an opaque risk number
  • Flagged while the student is still enrolled
  • Feeds the monthly parent progress report automatically

Control

You stay in charge of what the AI does

Three deliberate design choices about how AI behaves here.

  1. 01

Human in the loop on messages

AI-drafted broadcasts and suggested replies are proposals. Nothing reaches a parent until a person approves it.

  2. 02

    Reasoning, always shown

Scores and risk flags come with the reason behind them, so your team can override the model when they know something it does not.

  3. 03

Pay only for what you use

AI runs on prepaid credits rather than a flat surcharge, starting at ₹499 for 50 credits. Usage is visible, so cost never surprises you.

  4. 04

    Turn it off

Starter runs with no AI at all. Everything else in SCRMAI — pipeline, fees, attendance, WhatsApp — works exactly the same without it.

FAQ

Frequently asked questions

Does the AI message parents on its own?

Only where you have explicitly configured it to. The automated drip sequence and fee reminders send pre-approved templates, and the AI voice agent calls new enquiries if you enable that. AI-drafted content — broadcasts and inbox replies — always waits for a person to approve it before sending.

What happens if the AI scores an enquiry wrongly?

You override it, and you can see why it was wrong because every score shows its reasoning. The score is an ordering aid for a busy counsellor, not a gate — nothing is blocked or discarded on the basis of a low score.

How much does the AI cost to run?

AI features are included on the Professional and Business plans, and usage is metered with prepaid credits: 50 credits for ₹499, 200 for ₹1,499 or 500 for ₹2,999. You buy credits when you want them and usage is visible in the product, so there is no open-ended bill.

Can we use SCRMAI without any AI?

Yes. The Starter plan at ₹999/month has no AI features, and the rest of the product — pipeline, student management, attendance, fees, WhatsApp, analytics — is fully functional without them. Plenty of institutes start there and add AI once the basics are running.

Is our student data used to train AI models?

Your institute’s data is used to operate your account and generate your outputs. Our Privacy Policy is the authoritative statement on how data is processed and shared; if you have a specific compliance requirement, contact us before signing up rather than after.
