5 Signs Your School Has Outgrown Spreadsheets for Managing Enquiries
A spreadsheet is not automatically the wrong choice for admissions. It can be clear, flexible and familiar when one person manages a limited set of enquiries. The question is whether the team can still see the same information, agree on the next action and maintain the record without creating parallel versions.
Here are five practical signals to review. None is a rule on its own. Together, they can show whether the current process needs a different structure.
1. More than one version of the enquiry sheet exists
If the admissions team refers to several files, copied tabs or exports from different tools, it can be unclear which row is current. A shared record reduces the need to compare versions before taking action.
2. A counsellor must search several places for context
When someone needs to check a spreadsheet, WhatsApp chat, email and notebook before speaking with a parent, the conversation history is no longer easy to use. This pattern is explored in our guide to Excel and WhatsApp for admissions.
3. Next steps are not visible in one view
Rows can show a status, but a status alone may not indicate what should happen next. Teams need to see who owns the enquiry, when the next action is due and what that action is. During a busy period, this becomes especially important. Read how manual follow-up becomes hard in peak admission season for a workflow approach.
4. Reporting requires manual reconstruction
If the team needs to combine forms, call notes and payment records to understand the admission journey, reporting is more difficult than it needs to be. Before choosing a new tool, list the questions the team genuinely needs to answer, such as where enquiries came from or which stage needs attention.
5. Handover depends on a person’s memory
Staff leave, take time off and work across shifts. A process that depends on one person remembering the background of each family is fragile. A shared timeline and visible tasks allow an appropriate handover without asking parents to repeat their story.
What to do next
Start by mapping your current stages and removing fields that nobody uses. Then decide whether a shared lead management process is needed. A change of tool is most useful when it supports a process the team already understands.
